1. To begin you need to sign up for the Viveo Health doctors’ portal. 
2. To activate your profile on the Viveo Health platform you need to insert your personal details, such as date of birth and profile picture, and upload your professional license to be verified as a medical expert. If you have any issues completing your profile, please send an email to verification@viveohealth.com.
3. As soon as you complete the registration process your credentials will be validated within 48 hours (up to 2 weekdays). You will receive a notification that your account is ready.
4. From that moment, you are able to set up your calendar for new appointments. With Viveo Health you can set your own work schedule and open online consultation slots on your terms.

Viveo platform is available for all doctors willing to move their practice to a virtual dimension. However, the Viveo medical team carefully verifies doctors. The validity of their medical license is a must.

Yes. Doctors set up their calendars for online consultations on their own. You can provide online medical care whenever you’re available outside of your normal working hours. There are no limits or obligations for the amount of time you can contribute.

More than 80% of medical cases might be solved digitally. Online consultation adds a new perspective to medical care. Patients can skip driving to and from a healthcare facility, thus saving money, effort, and time, to get solutions that resolve health issues faster. Online consultations are not suitable in cases when: 

• You have a symptom/disorder that requires a physical examination, some type of sampling or x-ray
• You want to start treatment that requires long-term and regular medical contact
• You are in need of sick leave. Viveo Health cannot issue sick leaves

We do not provide emergency medical care. In case of an emergency, contact the nearest medical facility.

On the Viveo Health platform, you can choose languages to use when providing medical care. Only patients speaking one of your languages can book appointments with you.

Yes, online access is required. Your patients can use Viveo via a web browser or mobile app, both of which are designed for users with little or no experience.

Via this platform, you can write prescriptions for patients and refer them to specialists.

Yes, you can schedule follow-up appointments with patients.

Doctors have access to only their own patient medical records from previous meetings via Viveo Health.

Yes. We have doctors across all specialties. You can refer your patient to any of them. In case your patients need a physical examination, which can’t be provided through video call, you may give them further instructions on how to get the care they need.

According to the legal team we have worked with in Ukraine, they have stated that there are no legal or licensing considerations for foreign medical professionals to be mindful of: “According to the Order of the Ministry of Health ‘On the involvement of foreign medical workers in the provision of services to victims of martial law’ from 26.02.2022 № 383, foreign doctors may be involved in medical assistance in Ukraine. Any other restrictions up to the end of the state of war in Ukraine do not exist.“ Although laws regarding telemedicine in this situation do not yet exist, they conclude by extension: “foreign doctors are allowed to provide full-fledged medical services via telehealth in Ukraine without any restrictions during wartime.”

As for liability concerns, via the various laws in Ukraine, it has been concluded that: “it is extremely unlikely that a foreign doctor will be sued. In fact, this is possible only in the case of gross disregard for professional standards, a clear violation of medical protocols and the patient’s willingness to incur high costs of litigation.“

Finally, regarding privacy and data privacy, the law states that: “establishing a medical diagnosis, providing care or treatment or providing medical services, operation of an electronic health care system provided that that such data are processed by a medical worker, rehabilitation specialist or other person of a health care institution, rehabilitation institution or a natural person – entrepreneur who has received a license to conduct business in medical practice, and its employees covered by the legislation on medical secrecy, employees of the central executive body implementing the state policy in the field of state financial guarantees of medical care, employees of the institution carrying out state sanitary and epidemiological supervision and activities in the field of public health, which received a license to conduct business in medical practice.” Therefore, it has been concluded that: “this basis allows unconditional processing of PHI in the case of emergency medical care, when it is impossible to obtain prior consent of the patient. In other cases, it is recommended to obtain a separate written consent of individuals on the processing of personal data in the process of telemedicine. Concerning HIPAA, it is not regulating such processing, when providing health care to overseas foreign national beneficiaries and no special standards are required.”

• On the “Calendar” view you can see the scheduled appointments and expand the panel for a more detailed view. 
• On “Calendar settings”  you can configure your slots for consultations and the duration of consultations. 
• The “Contacts” view allows you to see your list of patients who have been invited and joined the platform. Here you can easily invite your patients to the Viveo Health platform to conduct online consultations. 
• The “Calls” section allows you to see all of the conducted consultations with details. 
• The “Health records” section provides you with a list of health records, notes, diagnoses, treatment plans, and much more. In this panel, you are able to download the health records or send them to your patients via email. 

Take a look at this quick overview of adding your medical license number and uploading the certificate. 

1. To add your medical license in order to get verified and activate your Viveo Health account, you need to open your profile by clicking on the profile picture icon on the top right. 
2. Click “Edit” and type in your license number. 
3. Next, click “Upload”, locate your license and upload it to the system. 
4. Click “Save” and you are done! 

P.S. You are not able to start with consultations unless we verify your credentials, which takes up to 48 hours. You will receive a notification that your account is ready.

On the Viveo platform, you can set up your own time slots and work according to your schedule. Patients can not book consultations with you unless you set up your availability.

To configure your calendar:

Go to calendar settings by clicking the Calendar icon on the left.

Open settings to add your slots. 

• First, let’s set up the days you are available by clicking on the “Set period and hours”.

Select the dates you are available to help patients. Please note you can add start and end times differently for all available days. You can add different slots per day when you are available.

By default, all weekdays are enabled but you can easily disable or enable any day. And set custom times for each day.

Click “Save” to save your schedule. 

• Set the default duration of the consultation. You can choose between 5, 10, 15, 20, and 30-minute slots. Your patients will see the appointment duration.

The consultation will not end automatically after the time has passed.

Click “Save” to save the consultation duration.

All done, now patients can see when you are available and how long are your consultations.

Congratulations! A patient has booked a video consultation with you. What is next? 

​​On the main dashboard, you can see information about the patient that booked a consultation with you! You can see more details if you expand the panel. 

As soon as the patient joins the consultation you can join by clicking on the blue camera icon. This is the consultation view.

On the consultation view you can add: 

• Notes
• Treatment plan 
• Diagnosis
• Upload documents.

To finish the consultation you can end the call by clicking on the red icon.

There are two ways to cancel your appointments, depending on whether it’s scheduled for today or for a day in the future. 

1. To cancel the appointment scheduled for today you need to select the “Calendar” view from the left menu bar. 

On the “My appointments” view on the left, you see the appointments scheduled for the day. Select the appointment that you want to cancel. Click “Cancel an appointment” from the dropdown menu. 

2. To cancel the appointment scheduled for the future you need to select the date of the appointment from the “My appointments” view. Click on the appointment that you want to cancel. Click “Cancel an appointment” and confirm by clicking “Yes”.

You can easily reschedule an appointment, using these simple instructions: 

• If the appointment is scheduled for today select the “Calendar” view from the left menu bar. Choose the appointment you need to reschedule from the “My appointments” view. Click “Edit” and change the date and/or time. Then click “Save”.
• If the appointment you need to reschedule is on tomorrow or on the following days, open the “My appointments” menu and chose the appointment you need to reschedule. Click “Edit”, change the date and/or time and click “Save”.

That’s all!

Firstly, for the simplicity reason we strongly advise you to tick on the log-in dashboard ‘keep me logged in’. In this way you will be entering the platform straightaway, without necessity to log in each time.

However, if you happen to forget your password, you can easily retrieve it on the log-in web by clicking on ‘Forgot password?’. The system will navigate you further.

Here you can find the best practices to build a strong profile to fulfill all available slots in your schedule. 

• Set up your profile. Add your personal data, professional history, and profile picture. Provide more information about your experience and strengths.
• Be prepared before the appointment. You have to know what problem bothers your patient and what to ask them during the consultation to use effectively the time of consultation.
• Ask your patient about the availability of the medications or further diagnostic options in your patient’s region of living. First, try to find a solution that will help your patient in their current circumstances. If it’s not possible, try to create an attainable treatment plan.
• Remember that your online patients are as much important as your offline patients. Don’t be late and don’t miss appointments. Be respectful, kind, and supportive.
